The next opportunity to submit an application for the Healthy Saanich Advisory Committee's Community Matching Fund program will occur in January and February of 2007, with the deadline being February 28, 2008.
What
type of projects are considered ?
Projects could include, but are not limited to, the
suggestions listed below.
• Park improvements (equipment, gardens)
• Community Celebrations & Special Events
• Tree Planting Projects
• Improvements to the Natural Environment
• Art Enhancement Projects
• Neighbourhood features (ie: benches, murals)
Who
Can Apply?

Funds may be granted to community-based,
non-profit groups and associations for projects that
will primarily benefit the neighbourhoods and residents of Saanich. |
| • |
Applicants should have a demonstrated partnership(s),
either in kind or funding, from the community. |
| • |
Partnerships amongst more than one group in the community
would make the project more desirable for matching funding
as this would indicate a higher level of interest and
resource sharing. |
| • |
The application must be supported in writing by two
letters from the community – with one being from
the Community Association representing the area in which
the project or event will take place. |
| • |
Funding will not be provided for future projects, i.e. projects may only start after grant approval. |
| • |
Projects which are primarily intended to generate revenue will NOT be considered. |
| • |
If granted, funds should be used only to further the purpose of the grant application and not be received on behalf of a third party. |
What
is the maximum grant available?
| • |
$2,000 is the maximum amount awarded to
any one particular group. |
| • |
The group must “match” the
amount granted, either in funding, or in kind. |
| • |
The total value of your group’s
contribution must at least equal the grant requested. |
| • |
Examples of “In Kind” contributions
are: |
| |
- |
volunteer labour (valued at the cost necessary
if labourers were to be hired) |
| |
- |
donated professional services necessary to the project,
and valued in proportion to the project’s needs |
| |
- |
donated materials and supplies (eg: office supplies,
landscaping materials, construction supplies), valued
at a cost necessary if they were to be purchased |
| |
- |
borrowed equipment (computers, trucks, tools), valued
at the cost necessary if they were to be rented. |
How
do I apply?

Complete the application form
– including a projected budget statement and a
financial statement for your organization. |
| • |
Provide any necessary permits and/or approvals from
outside organizations or departments. For example, if
you plan to host a community picnic in a Saanich or
CRD Park, you must obtain permission from Saanich Parks
or the CRD. These approvals or permits must be provided
in writing before a grant request will be considered. |
| • |
Submit all documentation, including the two letters
of support (one of which should be from the Community
Association), to Legislative Services by the deadline date of February 28, 2008. |
Project
Guidelines:
1. The project or event
| • |
Should be compatible with existing municipal policy. |
| • |
Must be managed and carried out by the applicant
organization. |
2. If applicable, the project team should work with
Municipal staff to coordinate with existing municipal policies
relative to that neighbourhood.
3. Upon completion of the project, a financial statement,
listing all revenues (including in-kind) and expenditures,
is to be submitted to the Municipality.
4. As well, a brief report indicating how the funds were
spent, what role community partners played and how the project
contributed to the overall enhancement of the community
must be provided.
5. At least 25% of the resources provided as the group’s
contribution must come from the neighbourhood.
6. Contributions may be promised by donors (not required
to be presently available), but each must be supported by
written correspondence from the respective donor - including
the date of availability.
7. All promised contributions are to be used during the
project’s implementation.

you included…

the project?
‚ A complete and detailed description
of the project/event, including goals,
time lines, etc.?
‚ A description of the project
partners and their involvement?
‚ A description of how the
project benefits the community?
‚ The budget, including identification
of “matched” contributions?
‚ A demonstrated potential
for action and finances to complete the project?
‚ A source of maintenance and
operating support (if applicable)?
‚ A current financial statement
of the organization applying, including projected
and actual expenses and revenue?
‚ Permits and/or written approvals
from other organizations and municipal
departments involved?
Remember that upon completion of the project, you must submit
a financial statement, including revenues and expenditures,
together with a brief report indicating how the funds were
spent, the role of the community partners, and how the project
contributed to the overall enhancement of the neighbourhood.
A few projects will be selected for display on the Saanich
website.
